Executive Assistant to the Vice President for Advancement and CEO of the FLC Foundation

Position Summary:

The Executive Assistant to the Vice President for Advancement and CEO of the FLC Foundation supports the Office of Advancement’s day-to-day operations, manages the VP’s calendar, arranges meetings, travel, and develops and analyzes reports. This highly visible role supports shifting priorities and is responsible for maintaining consistent high-level interactions and communications with FLC’s top donors, Foundation Directors, College leadership and other internal and external stakeholders.

The ideal candidate will be able to anticipate needs, remain organized under pressure, and represent the VP and the FLC Foundation in both internal and external meetings as needed. This dynamic, fast-paced position requires the ability to think critically and offer solutions to problems with a high level of professionalism and confidentiality. This position also offers primary support to the FLC Foundation Board of Directors and its committees as the Board Professional and de facto board secretary.

Job Description:

Minimum Qualifications

  • Bachelor’s Degree, preferably in a business-related field, and three years of professional experience, or more than four years of administrative experience supporting a senior executive.
  • Ability to handle confidential information with discretion.
  • Demonstrates excellent communication skills.
  • K nowledgeable and willingness to utiliz e multiple software and technology solutions .

Preferred Qualification s

  • Previous experience providing administrative support to a governing or fiduciary board.
  • Experience supporting executives in a higher education setting .

General Knowledge, Skills, and Abilities

  • Effective oral and written communication skills demonstrated through preparing executive correspondence .
  • Excellent organizational skills and strong attention to detail .
  • Digital proficiency in the Microsoft Office suite, Zoom, Adobe Acrobat, Adobe Sign, and WorkDay .
  • Understanding of Artificial Intelligence tools or a willingness to learn.
  • Demonstrate confidence and professionalism in building relationships on behalf of the FLC Foundation .
  • Must be willing to work outside regular office hours on occasion, including evenings and weekends to support special events .
  • Strong understanding of Fort Lewis College’s rich history, its commitment to serving a diverse student body, and its dedication to reconciliation and fostering inclusive excellence.

Executive Support Duties

  • Manage day-to-day operations of the Office of Advancement .
  • Prioritize and handle incoming issues; act as liaison for the Vice President and FLC Foundation .
  • M anage up to leadership by proactively providing direct feedback, thought partnership, clear communication, and strategic advice.
  • Communicate on behalf of the Vice President with stakeholders, including the Foundation Board, donors and community partners, and campus leaders .
  • Oversee the Vice President ’s calendar, travel, meetings, and event logistics .
  • Coordinate standing meetings with departments and staff reporting to the Vice President.
  • Monitor Office of Advancement budget .
  • Manage special projects as assigned.

Board Professional

  • Serve as the primary liaison and de-facto secretary for the FLC Foundation Board of Directors

providing administrative support to the Board and its committees.

  • Composes verbal and written communication with board members and their staff.
  • Manage and maintain Foundation Board information in SharePoint site.
  • Provide support for FLC Foundation meeting agendas, minutes, committee meeting s, retreats, and event coordination.
  • Maintain FLC Foundation protocols and policies list and keeping documents updated i.e. MOU,

Bylaws, lease agreements, rosters, committee lists, conflict of interest forms etc.

Administrative tasks

  • Oversee Advancement O ffice operations, including mail, visitor reception, and office supply orders, storage needs, etc.
  • Maintain contact lists, process leave reports and manage memberships /professional subscriptions .
  • Support search committees within the department, and other departments as appropriate,

and scheduling interviews.

  • Support new team member onboarding, maintaining Advancement onboarding protocols.
  • Support Advancement Operations with separation of duties for gift processing, overseeing

mail delivery, stamping checks and counting all cash deposits brought over from other departments and securing all monies in the safe on a daily basis.

  • Ensure compliance with institutional and FLC Foundation policies and procedures.
  • Support other duties as assigned.

Compensation

Salary range is $ 62,000 – $69,000, plus a comprehensive benefits package . This is a 12-month exempt staff position.
