Job Summary
The Office of
Student Affairs with the Spencer Fox Eccles School of
Medicine (SOM) works closely with medical students to ensure they
feel supported and successful during their time at the SOM by
facilitating the personal and professional development of the
students through accessibility, professionalism, collaboration, and
inclusivity.
The Administrative Program Coordinator provides administrative
support to the SOM Student Affairs team. This position primarily
takes the lead on the Visiting Student Learning Opportunity (VSLO)
program and supports areas within Registrar and Scholarships and
Financial Aid teams. In addition, involvement in and completion of
recurring projects, and provide event support during busy
seasons.

Responsibilities
- Act as first point of contact for the School of Medicine’s
students, faculty and guests; maintains a welcoming and positive
environment within the Office of Student Affairs; provides
administrative support to Student Affairs management and
staff. - Support the Registrar team as the primary lead for processing
student applications for the Visiting Student Learning Opportunity
(VSLO) program, including working closely with SFESOM departments,
and assisting with main email inbox and communication pertaining to
program. - Assist with the launch of the VSLO catalog for incoming medical
students by connecting with departments and coordinating
application and catalog deadlines, including holding in-person and
virtual workshops for training staff, students and faculty. - Support the Scholarship and Financial Aid team with the yearly
scholarship application process for incoming and current
students. - Support Scholarship and Financial Aid team by providing
assistance with planning and coordinating in-person workshops for
students and assisting with main email inbox. - Running reports and assisting with holds on student’s
records. - Assist with policy and procedures implementation and
upkeep. - Create, update, and communicate on Student Affairs related
Canvas courses and student credentialing processes, and badge
access, including financial aid and scholarship assignments, as
needed. - Support major Student Affairs event committees, and
events. - Cross-train with and provides daily email and administrative
support to Student Affairs Managers. - As needed, back-up the front office.
- Other duties as assigned.

Minimum Qualifications
Bachelor’s degree (or equivalency) in a related field plus one year
directly related experience or equivalency. Demonstrated ability to
work independently, analyze and make decisions related to program
content. Strong coordination and organizational skills required to
prioritize conflicting deadlines. Demonstrated human relations and
effective communication skills are also required.
EQUIVALENCY STATEMENT: 1 year of higher education can be
substituted for 1 year of directly related work experience.
(Example: bachelor’s degree = 4 years of directly related work
experience.)
